To Do


What this does

The To Do module is a personal and team task management tool built into FINEXO PMS. It lets you create to-do items, organise them into lists, set due dates, and share lists with team members for collaboration — all without leaving the platform.


Before You Start

  • Every user has a Default list created automatically. This is your personal to-do list.
  • To-do items are not linked to clients or tasks — they are standalone reminders and action items.

Sidebar Views

The To Do module has the following views in the left sidebar:

Creating a To Do Item

  1. Click on any list in the sidebar (e.g., Default) to open it.

  2. Click on an existing item or start typing in the input area to create a new to-do.

  3. Fill in the details:

    ToDo NameThe title or action item. Press Enter to save quickly.
    DateDue date for this item. Once set, the item automatically appears in the relevant date view (Today, Tomorrow, Week, Overdue).
    Star (⭐)Click to star the item — it will appear in the Starred view
    DescriptionOptional notes (up to 1,000 characters). Use Shift + Enter for a new line.
  4. Click Save or press Enter to save the to-do item.


Completing a To Do Item

Check the checkbox on the left of any to-do item to mark it as completed. Completed items are removed from the active list.


Starring a To Do Item

Click the star icon (⭐) on any item to add it to the Starred view. Click it again to remove the star. Use the Starred view as a quick-access list for your most important to-dos across all lists.


Deleting a To Do Item

Click on a to-do item to expand it, then click the 🗑️ Delete button to permanently remove it.


Creating a Custom List

  1. Click + Add List (top left of any view).
  2. Give the list a name and save.

The new list appears in the sidebar below Default. You can create as many lists as needed — for example, one per project, team, or topic.


Sharing a List with Team Members

Lists can be shared with other users in your workspace so everyone can see and manage the same to-do items.

  1. Open the list you want to share.
  2. Click Actions (top right).
  3. Under Add User, select the team members you want to share the list with.

Shared users appear under Shared With with their avatar and name. To remove a user, click the × next to their name.

Tip: If you want a to-do to be visible to a specific team member, create a dedicated list, share it with them, and add your to-dos there. They will be able to see and manage all items in that shared list.


How Date-Based Views Work

When you create a to-do item and set a due date, the system automatically places it in the relevant date view:

  • Today — due date is today
  • Tomorrow — due date is tomorrow
  • Week — due date falls within this week
  • Overdue — due date has passed and the item is not completed
  • Without Due Date — no due date is set

You don't need to manually assign items to these views — they update automatically based on the due date.


Search

Use the Search bar to find to-do items by ToDo Name or Description within the current view.


To Dos on the Dashboard

A summary of your to-do items is also visible on the Dashboard under the Todo tab. It displays the following summary cards:
