Client list
What this does
The Clients List page gives you a complete view of all clients in your workspace. From here you can search, filter, add, edit, import, export, and manage the active or inactive status of your clients.
Before You Start
- You need permission to view clients (granted by your workspace admin).
- To add a new client, see Add a Client.
The Client List
Navigate to Clients → List in the left sidebar.
The list displays all active clients in your workspace in a table with the following columns:
| Column | Description |
|---|---|
| Client Details | Shows the client's File No., Name, and Contact Person in the format: File No. - Client Name - Contact Person |
| GST Applicable | Yes or No — whether GST is applicable for this client |
| Type of Client | Entity type (e.g. Individual, Private Limited Company, LLP, etc.) |
| Actions | Three-dot menu (⋯) with options to Edit, Mark Inactive, or Delete |
Click on any client row to open their full Client Profile.
Search & Filter
Search bar — Search clients in real time by File No., Client Name, or Trade Name.
Filter — Click Filter to narrow the list using the Basis of Filter dropdown:
| Filter Option | Description |
|---|---|
| All Clients | Show all clients (default) |
| GST Applicability | Filter by whether GST is applicable |
| GST Registration Type | Filter by GST registration type (Regular, Composition, etc.) |
| GST Registration Status | Filter by status (Active, Cancelled, Suspended) |
| Groups | Filter by client group |
| Tags | Filter by assigned tags |
| Ownership Type | Filter by ownership type (Proprietorship, Pvt Ltd, etc.) |
| Task Applicable | Filter by tasks assigned to the client |
| Task Category | Filter by task category (GST, Income Tax, MCA, Others, or custom) |
Show Inactive Clients — Check this box to include inactive clients in the list.
Actions Menu (⋯)
Click the three-dot menu on any client row to access the following options:
Edit
Opens the client's full edit form — the same form used when adding a client — where you can update any details across all tabs.
Mark Inactive
Deactivates the client. Inactive clients:
- Are hidden from the default list (use Show Inactive Clients to view them)
- Do not count towards your workspace's billing
- Can be reactivated at any time
Delete
Permanently deletes the client record.
Important: A client cannot be deleted if they have existing tasks. If tasks exist, the following message is shown: "Client cannot be deleted as it is used in tasks. However, you can make the client inactive."
You must delete all associated tasks first before the client can be permanently deleted. In most cases, marking the client as inactive is the recommended approach.
Toolbar Actions
+ Add Clients
Opens the Add Client form to manually add a single client. See Add a Client for full details.
To add multiple clients at once, use the Import option instead — download the FINEXO import template, fill in your client data, and upload the Excel file. See Import Clients for full details.
Bulk Edit
Takes you directly to the Bulk Edit Clients page to update a specific field across multiple clients at once. See Bulk Edit Clients.
Import
Opens the Import Clients flow to add multiple clients at once from a file. See Import Clients.
Export
Exports the full client list as an Excel file containing complete data for all clients currently shown in the list (respects active search/filter).
What Happens Next
Click any client row to open their Client Profile, where you can view and manage that client's tasks, receipt payments, register in/out, attachments, and all other details.
Validation & Errors
| Situation | What to do |
|---|---|
| Client cannot be deleted | The client has existing tasks. Delete all tasks first, or mark the client as inactive instead. |
| Client not appearing in list | Check if Show Inactive Clients is unchecked — the client may have been marked inactive. Also check if an active filter is hiding them. |
