Task profile


What This Does

The Task Details modal opens when you click a task name from the Task List. It is the central hub for managing a single task — updating status, tracking time, managing checklists, adding comments, viewing attachments, and reviewing activity history.

Left Panel

Client Notes

Notes added at the client level — these appear on every task belonging to that client. These are read-only on the task; they are added and managed from the client profile. Shows "No Client Notes" if none are set.

Description

Click "Click to add description…" or the pencil icon (✎) to add or edit a task-level description. Supports rich text formatting.


Tabs

Checklist Tab

Displays the checklist for this task. Checklist items can be created in two ways:

  • Manually — using "+ Add New Item" directly on this task
  • Automatically — via a checklist template configured under Settings → Checklist

Each checklist item shows:

  • Item number and name
  • Toggle switch — click to mark as complete (item turns green with strikethrough text)
  • Created by / marked complete by, with timestamp and See Full Log link

Important: If a task has a checklist, all items must be toggled ON (completed) before the task status can be changed to Completed. The system will not allow completion until every item is done. Toggling an item can be reversed.

Checklist actions:

Comments Tab

Displays all comments on this task in chronological order. Users can:

  • Add new comments
  • Edit their own comments
  • Delete their own comments

Attachments Tab

Shows all documents attached to this task, including:

  • Files uploaded by team members directly on this task
  • Files uploaded by the client via the Client Portal

Activity Tab

A complete history log of all actions taken on this task — status changes, checklist updates, user assignments, comments, and more. Each entry shows who performed the action and when.

GST Filing Details (appears only after GST task is completed)

When a GST task is successfully marked as Completed and the return is verified via GSTN, this section appears automatically:

Custom Fields

Displays any custom fields configured for tasks (Settings → Custom Fields). Click + Add Field to add a new custom field. Each field has a text input and a Save button.


Track Time Modal

Click Track Time to open the time tracking modal for this task.

Fields:

  • Task — pre-filled with the current task details
  • Type — choose Automatic Time Tracking or Manual Time Tracking
  • Track Time — click Start to begin tracking

Time Tracking Activity for the task shows all time entries logged against this task, split into two sections:

A Total Time Tracked row summarises all automatically tracked time. An Export button exports the time log to Excel.


GST Task Completion — GSTN Verification

For GST tasks, changing the status to Completed triggers a real-time check against the GSTN server:

If return is NOT filed:

⚠️ "Return not filed — Task GSTR-1 (Monthly) (Dec 25) could not be changed to Completed as return is not filed as per GSTN records."
The status remains unchanged.

If return IS filed:

"Return filed successfully — Task GSTR-1 (Monthly) (Dec 25) has been changed to Completed as return filing is successfully confirmed from GSTN server."
The status changes to Completed, the ARN number and date of filing are saved under GST Filing Details, and all checklist items are marked complete automatically.
