Add-tasks


What This Does

The Add Task page lets you manually create tasks for one or more clients in a single operation. You select the task type, period, and due date, then choose which clients to create the task for — individually or all at once.

Note: There are two ways to create tasks in FINEXO PMS — manually (this page) and automatically via Recurring Tasks (configured under Settings → Recurring Tasks).


Before You Start

  • The task type you want to use must already exist. If it doesn't, you can add one directly from this page using + Add Task Type.
  • Clients must have the relevant task applicable to them for them to appear in the client list.

Steps

Step 1 — Select a Category

Click a category pill to filter the Task Type list:
All · GST · Income Tax · MCA · ACCOUNTING · [custom categories] · More ▾

  • All shows every task type across all categories.
  • Selecting a specific category limits the Task Type dropdown to task types within that category only.

Step 2 — Select a Task Type

Choose from the Select Task Type dropdown. Each option shows the task name alongside its category label.

Once selected, two buttons appear next to the task type field:

DeleteDeletes the task type. If tasks already exist using this type, an error is shown: "This task type is used in X task(s). Please delete or reassign these tasks first, or make the task type inactive instead."

Adding a New Task Type

Click + Add Task Type to open the Add Task Type form:

Click Save to create, or Cancel to discard.


Step 3 — Select Period

The Period field auto-selects the previous month based on the task type. You can change it manually from the dropdown (e.g. May 26, Apr 26, Mar 26, Feb 26).


Step 4 — Due Date

Auto-calculated based on the task type's configured Due Days setting. Displayed as a date (e.g. 06/11/2026). Can be adjusted manually if needed.


Step 5 — Description (optional)

A rich text editor for adding notes or context for this task. Supports bold, italic, underline, strikethrough, text colour, highlight, subscript, superscript, blockquote, lists, alignment, and links.


Step 6 — Select Clients

The client list shows all clients for which the selected task type is applicable.

Show All Clients toggle: By default this is OFF — only clients for which the selected task type is applicable are shown. Toggle ON to display all clients regardless of task applicability.

GST category exception: Even with Show All Clients ON, only clients with a GST number added (GST-applicable clients) are shown.

Search: Type a file number, client name, or trade name in the search bar to find specific clients.

Filter Clients: Click to filter the client list by:

  • All Clients (default)
  • GST Applicability
  • GST Registration Type
  • GST Registration Status
  • Groups
  • Tags
  • Ownership Type
  • Task Applicable
  • Task Category

Bulk select: Tick "Create task for all clients (For which selected task for selected period applicable)" to select all applicable clients at once.

Individual select: Check the box next to each client you want to include.

The client list is paginated — 10, 25, or 50 records per page. Use Prev / Next or Go to Page to navigate.


Client List Columns

Other Users vs Working User: Working User is the person doing the task. Other Users are the people managing or overseeing it. Both can be the same person or different — there is no restriction. Multiple other users can be assigned, but only one working user.


Step 7 — Create Tasks

Once clients are selected, the button at the bottom shows the count of tasks to be created:

Cancel — discards the form and returns to Add Task.
Create X Task — creates tasks for all selected clients.

Important: Duplicate tasks are not created. If the same task already exists for a client for the same period, it will be skipped automatically.


What Happens Next

After clicking Create X Task, a success toast appears ("Task Created Successfully") and the page redirects to the Tasks Created summary:

New Tasks

A table listing all tasks that were successfully created:

Duplicate Tasks

List any tasks that were skipped because the same task already existed for that client and period.

"These are the tasks that are already present and thus not created. Same task for the same period for a client is considered a duplicate."

If no duplicates exist, this section shows: "No duplicate task."

+ Add Task — create another task immediately.
Show All Tasks — navigate to the full Task List.
